The Learning and Development (L&D) of the world’s leading life science company approached us with a critical challenge: managing a vast and rapidly outdated body of educational content. Their internal learning platform supports various supply chain roles with training slides and videos, but several issues had emerged:

 
  1. Constant System Updates — The planning platform evolves frequently, introducing new features, scenarios, and constraints, leaving training materials quickly outdated.
  2. Outdated and Oversized Knowledge Base — Some courses exceed 500 pages or hours of video and no longer reflect current system functionality. Updating this content placed an additional burden on already overstretched experts, slowing down revisions and introducing inconsistencies.
  3. Knowledge Concentrated in a Few Experts — A small group of specialists held most of the system knowledge. Their limited availability caused bottlenecks, and their potential departure posed a serious risk of knowledge loss and operational errors.

The winning formula

 

We implemented AURA, an AI solution to centralise and streamline training content. It compared document versions and integrated comments. AURA also captured updates to preserve knowledge, preventing information loss. This reduced confusion, sped up approvals, and ensured consistency with internal standards.

  • Reduced Expert Workload Through Targeted Gap Analysis: Experts now receive focused gap analyses, cutting their review time considerably, allowing them to validate content more efficiently without sifting through hundreds of pages.
  • Smarter Content Updates and Reduced Redundancy: Early results show a potential 30% reduction in redundant content creation, as AURA identifies what needs updating and what can be reused.
  • Faster Alignment with Platform Changes: The current phase detects textual changes, with the next phase introducing the ability to read text within images—further enhancing content accuracy and responsiveness to synchronised training content and new releases.
